Santa Fe Community Convention Services CRM Software System

CITY EXPECTATIONS

A. The CRM system/software must provide three (3) key components/services; 1) the ability

to support marketing efforts, 2) manage the sales and meeting space and 3) provide accounting tools.

Tourism Santa Fe (TSF) is requesting bids from companies that can provide all three components or a

combination of companies that can provide individual components. CRM Definition: Customerrelationship

management is an approach to manage a company's interaction with current and potential

customers. It uses data analysis about customers' history with a company to improve business

relationships with customers, specifically focusing on customer retention and ultimately driving sales

growth.

B. It is not a requirement that the vendor/company provide all three components/services. If

a vendor/company is unable to provide all three components/services submit the proposal with only those

components/services that can be provided. The vendor/company will provide a list of all other

vendors/companies that they can integrate with on the components/service that they cannot provide. If

they are able to create an API (one way or two way) or will allow another vendor/company to create an

API to connect those must be included.

C. The CRM system/software should be able to help minimize the duplication of data entry

and maximize time efficiency and productivity. Tourism Santa Fe should be able to input all sales,

marketing and consumer/leisure data, manage meeting space, prepare and manage all billing and

invoicing and run reports.

D. The City of Santa Fe will require references where CRM systems have been

implemented and preferably in use for at least 2 years. The reference list shall include both satisfied and

dissatisfied users. The City may elect to contact references and/or visit personally to see how the system

is working. The City may elect to research and contact additional references that were not necessarily

supplied by the proponent.

E. The CRM system/software proposed shall be the most current version available.

F. The proposal shall include all computer set up, testing, downloading programming if

required and data transfer, if any, and all “debugging” at implementation. The proposal needs to include

training of SFCCC staff that will be responsible for using CRM system/software. The proposal shall also

include training to the City ITT department so that this department can maintain a working system.

G. The SFCCC CRM System must be a web-based program that we have access to

anytime. Downtime can be limited to updates on your server.

H. Part of the proposal shall include the cost of hardware including but not limited to

desktop, tablet PC, notepads etc.
